Privacy Policy

1. Who we are

FormSignature (“we”, “us”) provides an electronic-signature service at formsignature.co (the “Service”). This policy explains what information we collect, how we use it, and the choices you have. Questions: privacy@formsignature.co.

2. Information we collect

• Account information — name, email address, phone number, company name and team size that you provide when you create an account, request a trial or contact sales.
• Documents and signatures — files you upload for signature, the fields you place on them, signer names and contact details, and the signatures, initials and data signers enter.
• Audit-trail data — for every document event (sent, viewed, signed, declined, completed) we record the time, the IP address, approximate location, browser and device, and the verification method used. This is what makes a signed document provable.
• Usage and device data — pages visited, features used, referring URL and campaign tags (UTM parameters), collected through standard server logs and cookies.

3. How we use it

• To provide the Service: deliver documents to signers, apply signatures, generate completion certificates and store your sealed copies.
• To operate your account: verification codes, sign-in links, reminders, receipts and service notices by email or SMS.
• To contact you about the Service, including onboarding help, product updates and offers. You can opt out of marketing messages at any time.
• To keep the Service secure, prevent abuse and comply with legal obligations.

We do not sell your personal information, and we do not use the contents of your documents to train machine-learning models.

4. Sharing

We share information only with: (a) the other parties to a document you send or sign; (b) service providers that host, deliver and support the Service under confidentiality obligations (cloud hosting, email and SMS delivery, analytics); (c) authorities where required by law or to protect rights and safety; and (d) a successor in the event of a merger or acquisition, with notice to you.

5. Cookies

We use strictly necessary cookies to keep you signed in and to protect forms from abuse, and analytics cookies to understand how the site is used. You can control cookies in your browser settings; disabling necessary cookies may prevent parts of the Service from working.

6. Retention

Completed documents and their audit trails are retained for as long as your account is active, and for a reasonable period afterwards so that parties can retrieve their copies, unless you ask us to delete them sooner or the law requires longer retention. Account data is retained while your account exists and deleted or anonymised after closure.

7. Security

Data is encrypted in transit (TLS 1.3) and at rest (AES-256). Completed documents are sealed with a digital certificate so any later change is detectable. Access to production systems is restricted and logged. No method of transmission or storage is perfectly secure; please use a strong, unique password and enable signer verification for sensitive documents.

8. Your rights

Depending on where you live you may have the right to access, correct, export or delete your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights email privacy@formsignature.co. Note that we cannot alter a signed document’s audit trail, as doing so would compromise its integrity for the other parties.

9. International transfers

The Service is operated from the United States. If you use it from elsewhere, your information will be transferred to and processed in the United States under appropriate safeguards.

10. Children

The Service is intended for business use by adults. We do not knowingly collect information from anyone under 18.

11. Consent to do business electronically

By creating an account or signing a document through the Service you agree to receive documents, notices and disclosures electronically and to sign documents electronically. You may withdraw this consent by contacting us, in which case you may be unable to use the Service. To access and keep your documents you need a current browser, an email address and the ability to view and save PDF files.

12. Changes

We may update this policy from time to time. We will post the new version here and, for material changes, notify you by email or in the Service.
